About ZIVA

What is ZIVA?

ZIVA is a marketplace for planning events. Find venues, vendors, and experiences for weddings, birthdays, corporate gatherings, and more — all in one place. You can also list your own business and earn money hosting events.

Who is ZIVA for?

Anyone planning an event (a "planner"), and anyone offering a venue, vendor service, or experience (a "host"). The same account does both — there's no separate sign-up.

Booking

How do bookings work?

When you find a listing you like, you add it to your event's cart. At checkout you save a card — nothing is charged. If the host accepts — they have 72 hours — we charge a 25% deposit (minimum $50.00, never more than the booking itself). The rest is charged automatically to the same card 30 days before your event. We email you a reminder 7 days beforehand. If your event is within 30 days when the host accepts, there is no room for a two-stage payment, so the full amount is charged on acceptance instead. If the host doesn't answer within 72 hours, the request expires and you are not charged.

Can I cancel a booking?

Yes. Cancel more than 90 days out and you get everything back except the card fee. Inside 90 days the host keeps 25% of the booking; inside 30 days you also give up 50% of the rest.

  • More than 90 days before: Everything back, less the card fee.
  • 30–90 days before: The host keeps 25% of the booking. Everything beyond that comes back, less the card fee on the amount refunded.
  • Less than 30 days before: The host keeps 25% of the booking, plus 50% of the rest. The remainder comes back, less the card fee on the amount refunded.
  • On the day, or after: The booking can no longer be cancelled. If something goes wrong, report a problem instead.
  • Booked inside 30 days: Charged in full on acceptance and not refundable — nothing comes back, whenever you cancel. You are told this before you pay. This rule replaces the three above for those bookings.

Card processing (2.9% + $0.30) is charged by our payment provider and is not returned on a refund, so a "full refund" is what you paid less that fee.

If the host cancels or doesn't turn up, you get back every cent — including the card fee. That is on them, not you.

You accept this policy when you send your booking requests, and we record which version you accepted (currently 2026-08-30).

I booked at short notice — can I still cancel?

You can cancel, but there is no refund. A booking made within 30 days of the event is charged in full when the host accepts and is non-refundable — you are told this on the booking line, at checkout and on your receipt before you pay.

The reason is that there is no room for a two-stage payment this close in, and the host has turned down other work for your date at a point where they cannot realistically replace it.

If the host cancels, you still get back every cent, including the card fee.

What happens if a host cancels?

If the host cancels or doesn't turn up, you get back every cent — including the card fee. That is on them, not you. We'll email you as soon as it happens, and your date is free to book with someone else.

When can I leave a review?

Once the booking is complete, and for 30 days after your event ends.

A booking becomes complete either when you confirm the service was delivered — there's a button on the booking, and it also releases the host's payment — or automatically 72 hours after your event ends if you don't. So in practice the window opens within three days of the event and closes 30 days after it.

One review per booking, and only for bookings you actually made and that actually happened. That's why reviews on a listing all come from real bookings: there is no way to leave one without having had a booking complete.

While a problem you've reported is still being looked into, reviewing is paused — see below.

I reported a problem. Can I still review?

Not while we're deciding. A review published before the host has had a chance to give their side isn't fair to either of you, so the option is paused and the booking shows "Under review by ZIVA".

Once we've decided, the ordinary window applies again — and if the decision took a while, you get at least 7 days from it, even if the usual 30 days have already run out. You should never lose a review because we were slow.

If a booking ends in a refund, or is cancelled out of a dispute, there's no ordinary review — the booking didn't happen. If you think that outcome is still worth other planners knowing about, email contact_us@planwithziva.com and we can open a review for it by hand.

When do the host and I get each other's phone numbers?

After the deposit is charged — which is when the host accepts your booking — and until your event is over. Both numbers are shared at the same moment, in both directions.

Not before. While a request is still waiting on the host, nothing is shared: they haven't agreed to anything and no money has moved, and a phone number handed over at that point can't be taken back if they decline.

Not after, either. Once the event is done, or if the booking is cancelled, refunded or under review, the numbers stop being shown. You can still message through ZIVA at any time, where there's a record of what was said.

Hosts can put a separate business number on a listing; if they don't, the number on their account is used.

Hosting

How do I list my business on ZIVA?

Click "I want to list my business" from the post-login picker, or "My Listings" from the top nav. Walk through the listing flow — you'll add photos, set a price, and mark which dates you're available. ZIVA's cancellation policy applies to every booking; you don't set your own terms.

When do I get paid?

Payouts are released 72 hours after each event — once the planner has had a chance to raise any issue — via your connected Stripe account. Stripe’s processing fee (2.9% + $0.30 per payment) is deducted from your payout as well, and ZIVA charges a platform fee:

  • Under $100.00: $8.00 flat
  • $100.00 – $4,999.99: 13%
  • $5,000.00 and above: 10%, capped at $2,500.00

All fees are deducted from your payout — never from the planner.

Can I pause or take my listing offline?

Yes. From your dashboard, click "Take listing offline." It's removed from search results, but nothing is deleted — your details, photos, bookings, and reviews all stay saved. Put it back online anytime.

I'm getting an error trying to publish my listing.

If you see "minimum listing price is $25.00" or similar, that's an intentional check — listings under $25 aren't allowed. For other errors, make sure you've filled in name, location, and price, then try again. If it keeps failing, email us at contact_us@planwithziva.com.

Payments

What payment methods do you accept?

Any major credit or debit card — Visa, Mastercard, Amex, or Discover — via Stripe.

What will the charge look like on my card statement?

It shows the business you booked, followed by the listing — for example THE DILL P* SKYLINE LO. It will not say ZIVA.

That is because the business you booked is the merchant on the payment; ZIVA collects it on their behalf. Your card provider requires the name on the statement to be theirs.

We show you the exact wording at checkout, under each item, and again on your receipt — so you can check it against your statement later. If a charge appears that you do not recognise, open the booking in ZIVA and the receipt will tell you which line it is.

Do planners pay a service fee?

No. You pay exactly the price the host lists. ZIVA's commission and card processing (2.9% + $0.30) come out of the host's payout.

Is my card information secure?

Yes. Card details are handled directly by Stripe and never touch ZIVA's servers. We store only a token that lets us charge you for your bookings.

Account

Can I delete my account?

Yes, and you can do it yourself: Account settings → Close your account. You'll see exactly what will happen before you confirm — listings taken down, pending requests declined. It can't be undone.

Want a copy of your data first? Email contact_us@planwithziva.com and ask, before you close the account — we can't put one together afterwards.

If you have a booking that has been paid for, we'll ask you to settle or cancel it first, and tell you which one. Records of bookings that already happened are kept, with your personal details removed, where the law requires it — for tax purposes, for example.

How do I reset my password?

If you signed up with an email and password, head to Account settings from the avatar menu and click "Reset password". We'll email you a reset link. If you signed in with Google, your password is managed by Google — change it from your Google account.

Privacy & data

What information does ZIVA collect?

Account info (name, email, address, phone), booking history, payment details (handled by Stripe — we don't see your card), and listing info if you list. We don't sell your data, and we don't use it for third-party advertising.

Where is my data stored?

On servers in the U.S. We use Vercel and Neon (Postgres) for application data, and Firebase for authentication.
